Table layouts are a very important part of your event, they help direct the flow of traffic and add to the overall feel of the room. Below are some tips to help aid you in the creation of a room layout perfect for your event.
- Get an accurate count of your guests if you have more than 200 people we suggest seating 10 per table, 150-190 seat 8 or 9 per table and anything under 150 we suggest 6-7 per table
Getting a accurate count is a crucial part of creating a layout. You don’t want to set up tables for 250 people and only have 180 in reality the room will look unfilled, The same goes in reverse make sure there is plenty of seating without going overboard. Choosing how many people are to sit at each table comes down to simple math reference our suggested per table seating above say you have 215 people Divide 215 by 10 round up and that is how many tables you will need.
- Make sure you have walkways through the room for traffic to flow through
When deciding how to place your tables take into consideration how easy it will be for people to get from point A to point B. For smaller weddings where room to move through the space is not an issue you need to take into account how much unused space you have. For example you have 80 guests yes you could set them all at 8 tables but the space would look empty seating them 6-7 per table will give you around 13 tables to help fill out the space. The placement of your buffet line should be in an area easy to flow in and out of if you are having a large amount of guests consider making room for a line of people moving through on each side of the table to speed up the process.
- Have your table layout done 2 weeks in advance of your event and always order 1-5 extra linens
This is so we can have plenty of time to have your table cloths ordered and delivered typically once you get here there will be last minute changes to the setup of the tables we average 1-5 extra linens needed per event. we do not keep them in stock so you will have to plan ahead. linens are delivered to us on Mondays every week we can do an emergency delivery but the fee for that is 50$ plus the cost of the linens so it pays to be prepared!
- Keep in mine the space your vendors will need
Your caterers are going to be hustling back and forth from the buffet line and the kitchen, do they have a clear path to move while carrying hot trays of food? If you have a photo booth it is going to take up a lot of space we suggest placing them in one of the corners of the room Your photographers do not have a set place but they tie right in with room flow if they have to weave in and out of tables to get across the room you could miss out on photo opportunities! we have a set place for the DJ to set up if you want him to be somewhere else make sure he has room without people sitting right up against his table.
